Rental Policy
The fine print, made simple
Everything about deposits, insurance, cancellations and breakdown cover — in plain English, with no hidden charges.
Deposits & Payment
When you collect your car we place a refundable security deposit hold of $300 on all vehicles. The hold is released within 5–7 business days after the car is returned undamaged with a full fuel tank.
The rental total is estimated at booking and finalized at pick-up, based on the daily rate shown for each vehicle on the Fleet page. We accept all major credit and debit cards; the card must be in the main driver's name. Cash rentals are not accepted.
A valid driver's licence held for at least 12 months is required for every rental. Drivers under 25 may be subject to a young-driver surcharge of $25 per day.
Insurance & Liability
Every rental includes third-party liability coverage and a Collision Damage Waiver (CDW) with a $1,000 excess. This means that in the event of damage, you are responsible for up to $1,000 of the repair cost.
You can reduce the excess to $250 by adding our Protection Plus package at pick-up for $19 per day. Windscreen, tyre and underbody damage are only covered with Protection Plus.
Damage caused by negligence — including driving off-road, smoking in the car, or letting an unlisted driver take the wheel — voids the insurance cover entirely. Please list every driver at the time of booking; additional drivers who meet the licence requirements are free of charge.
Cancellations & Changes
Cancel free of charge up to 48 hours before your pick-up time and receive a full refund. You can cancel yourself from the "My bookings" page, or contact us and we'll do it for you.
Cancellations within 48 hours of pick-up are charged one rental day. No-shows who neither cancel nor collect the car are charged the full rental period.
Date and car changes are free of charge, subject to availability. If the new rental is more expensive, you simply pay the difference; if it's cheaper, we refund the balance. Refunds are returned to the original payment card within 5–10 business days.
If the Car Breaks Down
Every Apex rental includes 24/7 roadside assistance across all of California. If anything goes wrong — a warning light, a flat tyre, or the car won't start — call the number on your rental agreement and on the key fob, any time of day.
If the car cannot be repaired on the spot, we will bring you a replacement vehicle of the same or a higher category as soon as possible, at no extra cost. If a replacement isn't available within 4 hours, we refund the remaining days of your rental in full.
You are never charged for mechanical faults, wear and tear, or the recovery of the vehicle. Just make sure everyone is safe first, move the car off the road if possible, and call us before arranging any repairs yourself — unauthorized repairs are not reimbursed.
